Job Description:
As a PA to Head of HR you will be accountable for providing professional and confidential support to the Head of HR London Zone, providing issue resolution and the efficient flow of information, including a range of administrative, analytical and organisational tasks based upon corporate priorities with minimal supervision. Utilising effective and positive relationships with key stakeholders, both internal and external to support the Head of HR in meeting their commitments.
Job Responsibilities:
- Act as admin for all Microsoft Teams site for the wider Zone Talent Teams, the Zone GPTW Group and others as ay be required
- Act as a point of contact for Unions on the Zone working with reps, union organisers and central teams. Responsible for the preparation required for Zone Union meetings, working with the relevant business areas to provide resolution to queries raised where feasible and ensuring resolution of agreed next steps. Take accurate minutes, ensuring these are produced quickly and approved by the Head of HR prior to distributing and uploading to OurSainsburys
- Organise and coordinate department away days / training sessions to ensure consistent and maximum attendance. Capturing key actions or minute taking when in attendance
- Be proactive, following issues through to resolution whilst being able to work as a self-directed individual
- Maintain an overview of the zone team holiday bookings to minimise disruption
- Pay attention to detail, applying accurate administration skills whilst working to time restraints
- Demonstrate a high level of integrity and confidentiality during complex ER/Performance cases taking notes as needed to Senior Manager level
- To manage and oversee the induction and orientation process for new team members
- Accountable for reviewing periodical budget adherence identifying risks and proactively escalating issues to the Head of HR/Central Finance team as appropriate
- Manage the Head of HR expenses and ensure team expenses are actioned in a timely and efficient manner
- Using your own judgement to prioritise all communications to the HoHR, understanding the content and context
- Work with the HofHR to prepare for Senior Talent Lead Team meetings organising speakers as appropriate, noting actions and managing follow up as required
- Take responsibility for the planning, arranging and coordination of meetings, steering groups, forums and store visits including timely, cost efficient travel arrangements.
- To maintain and administer systems on behalf of the Head of HR on systems as appropriate – such as myHR, SSP, expenses, colleague recognition etc.
- Provide a confidential note taking support to the HoHR in Senior Manager zone listening sessions
- Responsible for the collation of all zone talent documentation (both Retail Operations and HR) ready for review/moderation by the ZMD and HofHR and at times collating this for Food Retail as a division
- Provide a highly confidential service including effective diary management, prioritising ‘requests for time’ alongside proactively managing long term commitments, always taking into account the HR/operational priorities/plans engaging cross functionally and externally to ensure priorities are delivered. Maintaining all updates and changes effectively
- Adapt at short notice to changing needs or time frames
- Develop and manage great working relationships with relevant stakeholders within all areas of the group to support the delivery of team objectives
- Support with the review and preparation of communications on behalf of the HoHR, making sure they are correct, accurate and delivered in a timely manner, challenging and redrafting where necessary
- Attend and facilitate the agenda for the Zone Great Place to Work meeting. Completing all pre-work, capturing minutes and ensuring the follow up and completion of any actions with the relevant team member/business areas
- Prepare presentations and reports for the Senior Leadership Team working with only general direction of content to a high standard– redrafting content where needed
- Support the HoHR to complete the annual budget process
- Proactively provide additional insight and analytics into key data e.g. We’re Listening / Diversity / HR Dashboard / My Sainsbury’s Learning / Pre-Appointment spend
- You’ll develop strong relationships with your peers and line managers, based on trust and delivery
Job Requirements:
- Ability to work independently and proactively, prioritising and managing workload to agreed timescales
- Be able to use digital technology to a confident level including Microsoft and Sainsbury’s systems
- Good judgement skills, should be able to demonstrate previous experience of identifying opportunities, solutions and priorities
- Have experience with and be able to demonstrate strong skills of managing and using data, insight and external detail to manage through to resolution
- Impact and influence skills with the ability to engage and challenge stakeholders
- Flexibility to work longer hours/weekends/overnights as required
- Ability to organise and prioritise workload and work on own initiative with confidence

- Understanding of HR policies and processes alongside store operations
- Experience of diary management, presentation and report collation
- Excellent communication skills both written and verbal
- Flexibility to be zonally mobile traveling to all locations within the zone and SSCs, from time to time
- Able to work in a fast-paced environment – proactively escalating risk and issues
- Self-motivated with a clear sense of ownership, able to multi-task at pace, with the internal customer in mind
