Job Description:

This position provides efficient and confidential secretarial and administrative support service to the CEO, Mayor and Elected Members to ensure that the goals and targets of the City are achieved.

To provide an efficient and confidential secretarial and administrative support service to the CEO, Mayor and Elected Members to ensure that the goals and targets of the section are achieved.

Job Responsibilities:

  • Provide confidential secretarial services and administrative support for the Chief Executive Officer and the Mayor. This includes, but is not limited to:
  • Coordinate the day to day activities of the area including supervision of support staff.
  • Coordinate and prepare various reports, memorandums, correspondence and other associated document processing tasks.
  • Undertake recordkeeping for the Mayor, Elected Members and CEO including, but not limited to recording outward correspondence in ECM and manage incoming mail.
  • Register and record corporate documents including incoming and outgoing emails in ECM and record notes on the progress of tasks.
  • Assist the Chief Executive Officer and the Mayor by highlighting urgent business, screening phone calls, arranging and organising appointments and meetings.
  • Assist Elected Members where possible with their enquiries, including referral to more appropriate sources and coordinate their Service Requests and Reports.

Job Requirements:

  • Word processing skills to an advanced level and proven high level skills with the Microsoft suite of software including Word, Publisher, PowerPoint, Excel, Visio and writable PDF software.
  • Previous experience in a similar senior role preferably with agenda preparation and minute taking background, with proven ability to apply the appropriate level of discretion and confidentiality to the role.
  • Excellent interpersonal and conflict resolution skills with the ability to communicate with a wide range of people and groups both inside and outside the organisation to ensure delivery of a high level of customer service.
  • Good written communication skills with the ability to write and research reports.
  • Ability to respond appropriately and show initiative when under pressure and/or in difficult situations.
  • Proven decision making and problem solving ability, which accommodates internal political and organisational sensitivities.
  • Proven organisational and administrative skills with the ability to identify and set goals in an environment of conflicting priorities.
