Job Description: The primary purpose of this position is to work with the Producer Major Events & Festivals tomanage all business operations in order to successfully plan, manage and deliver the annual program of major events produced for the City of Sydney by the business unit. The Major Events & Festivals business operations include: strategic business unit planning and development, finance including annual budgeting and ongoing management and procurement requirements; legal and governance requirements; commercial and compliance obligations; negotiation of significant contracts; management of staffing resources; and all other administrative systems and processes associated with the business unit and implementation of the events portfolio. Job Responsibilities: Work with the Producer, and senior management team in the strategic development of the business unit, with particular attention to financial, procurement and commercial activities. Management and administration of the annual budget, including but not limited to; annual forecasting and day to day management of the Major Events unit’s budget; budget analysis; use of the Finance Tech One system and liaison with the City’s Finance business unit as required. Provide strategic and operational advice for procurements and keep up to date with all changes to internal procurement related policies and procedures and changes to government legislation and policies relevant to the business unit, including recent cases associated with risk, copyright, moral rights and trademark regulations. Manage and oversee all documentation for tenders, formal requests for quotations and expressions of interest, and the preparation, negotiation and effective management of contracts, Agency Agreements and Memoranda of Understanding which may include event stakeholders; venue and property owners; government agencies and landholders and suppliers. Liaise closely with the City’s Legal, Governance and Risk units regarding event related matters including: contractual negotiations; licences of agreement; landowners’ consents; trademarks; business names, merchandising, public liability insurances; insurance claims; risk management and mitigation matters. Proven ability to build and contribute to a collaborative, engaged, dynamic and positive team culture. Excellent written and verbal communication skills, combined with proven ability to negotiate and interact on key activities and sensitive issues in a political environment. Qualification & Experience: Tertiary qualification in Business, Finance or Law or equivalent experience in the provision of high-level strategic business analysis, finance and operations management and co-ordination of activities to support a high performance unit in a dynamic political environment, preferably for large-scale major events. Demonstrated senior management and team leadership experience with a history of financial and complex operational success in the event industry, and proven ability to successfully manage large event teams. Demonstrated experience in managing and creative problem solving with a wide range of senior stakeholders including representatives of external organisations: contractors; suppliers; volunteers; government agencies; and internal departments. Demonstrated experience with creative, production and technical areas relevant to large scale public events.
