Job Description:

This role supports the Vice-President for Federal Government Relations and the Federal Government Relations Legislative and Executive Branch team and requires flexibility and the ability to work in a fast-paced environment, dealing with senior level internal and external executives in highly confidential matters, and requires the utmost discretion and judgment. Successful candidates will be highly organized, detail oriented with strong computer skills in Microsoft Outlook, Word and PowerPoint.

Job Responsibilities:

  • Complete draft expense reports for VP and team members in a timely manner; follow up to ensure team members submit reports on time
  • Prepare travel itineraries for team members as necessary
  • Facilitate in-house meetings, including food ordering, set up and break down, and material printing and distribution, as appropriate
  • Proactively manage calendar for VP and team members; review daily calendars, ensure relevant materials for meetings and conference calls are available and printed for team members
  • Schedule external and internal meetings for Vice President and team members, and follow up on outstanding meeting requests
  • Make and edit travel arrangements for VP and team members; air/train/ground/hotel
  • Compile and submit quarterly lobby reports and semi-annual lobbyist contribution reports for VP and team members
  • Manage FGR budget, including consultant contracts and funding requests

Job Requirements:

  • Strong work ethic, excellent judgment and the ability to work with highly sensitive information while maintaining confidentiality at all times
  • Must be independent, proactive, and self-motivated demonstrating strong organizational, interpersonal, and communication skills both written & verbal with internal and external senior executives
  • Proficient in Microsoft Outlook, Word, and PowerPoint
  • Work experience in Congress, the Federal Government or Trade Associations to understand how Congress and the Executive Branch work is preferred
  • Three years of experience that demonstrates the ability to carry out technical and administrative functions described in job responsibilities.
  • Bachelor’s Degree preferred
  • Ability to take direction and work with minimal oversight
  • Comfortable working in a fast-paced environment, with the ability to multi-task and adapt quickly to changing priorities
