Job Description:

The Clerk to the Director of Administration performs complex administration support or technical program assistance work in order to maintain efficiency in the day to day operation of the Business Office, which includes disseminating information, maintaining file systems and performing internal administrative work. Serves as contact for processing medical billing, note transcriber, setting appointments/meetings. Maintains records for projects, coordinates appointments with vendors. May serve as backup for other positions as needed, such as Cashier and Switchboard. This position works under general supervision, with moderate latitude for the use of initiative and independent judgment.

Job Responsibilities:

  • Manages, reviews and tracks all Personnel Action Request forms (HR0029) for all staffing and hiring actions.
  • Maintains filing and archive systems.
  • Maintains and enters position control changes or updates and coordinates the changes with the appropriate department staff.
  • Coordinates projects and assignments within or outside the division as directed by the ADOA.
  • Distributes payroll on an as need basis.
  • Ensures that incoming correspondence is distributed to correct manager for unemployment issues.
  • Attends work on a regular basis and may be required to work a specific shift schedule or, at times, even a rotating schedule, extended shift and/or overtime in accordance with agency leave policy.
  • Performs business administrative functions to include: answering phones, making copies, preparation of mail, running reports, assisting visitors, and coordination of meetings.

Job Requirements:

  • Ability to handle and safeguard sensitive and confidential information.
  • Ability to work independently and to exercise judgment in making administrative and technical decisions.
  • Ability to communicate clearly both orally and in writing.
  • Skills in effective communication in order to receive and share information in a timely, efficient, and diplomatic manner.
  • Skill in use of personal computers and software applications in a MS Windows environment (Word, Excel, PowerPoint, Outlook)
  • Ability to understand and interpret policies and procedures.
  • Ability to establish and maintain effective working relationships with staff, persons served at the facility, parents, and members of the community-at-large or others in the work context.
  • Ability to organize, coordinate and prioritize routine and complex tasks.

Qualification & Experience:

  • Graduation from a standard senior high school or equivalent in generally preferred. Experience in providing administrative support to senior-level management. Experience in Microsoft Suite application (Word, Excel, PowerPoint, and Outlook).
